The new Engage feature from AllVoices allows you to proactively send an email to your employees to request feedback through your company’s custom AllVoices URL. This feature and our various template options make it easy for you to introduce AllVoices to your employees, check in with your employees about their wellbeing, collect questions ahead of your company’s all-hands meeting, and so much more.
At this time, this feature is only available to customers who have a custom AllVoices URL and have an active HRIS integration (HTTPS, SFTP, API or manual CSV upload) into the AllVoices platform. Additionally, the Engage feature is only accessible to Owners and Primary admins.
How It Works:
You’ll know if you have the Engage feature when you see the Megaphone icon in your top navigation. If you don’t see this and feel you should have the Engage feature, please reach out to support@allvoices.co.
1. To get started, click on the Megaphone icon in the top right navigation in your AllVoices dashboard.
2. Next, draft an email to your employees asking for feedback around a specific topic or use the pre-populated template provided at the end of this guide.
- The email subject line and text body are completely editable
- The “Share Feedback” button is not editable as this links to your custom Allvoices URL to allow employees to submit a case from the email prompt.
3. Your most recent HRIS sync will be utilized to create the email list for your message.
- The email list will include all active users in your HRIS sync.
- The email will NOT include individuals you have added manually in AllVoices.
- Note: We will use the column labeled “Email” in your file sync to determine which emails to utilize.
4. Once you’re finished drafting your email, press “Send” to send the email.
- You will receive a warning letting you know exactly how many active employees are in the system and will be receiving the message. Press ‘Yes’ to proceed
- You will see a confirmation message that the email was successfully sent
5. Once your email is successfully sent, employees will receive an email that looks like the below (except with your unique message). They can then click on “Share feedback” to be taken to your company’s unique Allvoices URL and submit feedback.
Note: There is no tracking on this email in order to preserve the reporter’s anonymity.
6. Access the “Send History” log to view all previous sends.
