If you would like to enable automatic exit surveys for your company please follow these additional steps when configuring your SFTP or HTTPS file set up.
1. Ensure SFTP/HTTPS job is scheduled daily between 9pm-11pm PST
- Automated exit surveys will send daily at 10am PST unless otherwise requested
2. Include all active employees in the CSV file as well as inactive employees for up to 7 days past their termination date.
- For example: if an employee is terminated on 7/1/2023 the file should be configured to sync that employee until 7/8/2023 at which point the inactive employee should no longer be included in the file.
- This configuration ensures: 1. That if you are sending surveys to involuntary terminations (3 days post termination) they will still be included in the file and receive the survey and 2. That you do not send surveys to employees more than a week after their termination.
3. In addition to the standard fields required in the SFTP/HTTPS set up guide, include the following additional fields in the CSV file:
- PersonalEmail: A persons’ personal email address (*Optional)
- TerminationDate: A persons’ termination date/last date of work (*Required). Please format in Year-Month-Day (ex: 2023-04-10)
- TerminationType: A person’s termination type voluntary vs involuntary (*Required)
- Status: Status of employee as it shows in HRIS system (Active vs Inactive) (*Optional). See Sample CSV File
4. Please provide your CS representative a full list of the termination types you will be syncing in the file so that our team can map to the appropriate survey based on the termination type.
Important Note: If you do not have personal email available for employees there is the option to just use work email, however note the automatic trigger logic will need to be configured to send before termination as the work email is typically deactivated once an employee is terminated.
