The new step-by-step investigation workflow ensures every investigation is handled with consistent care across your organization, helping you build trust in a fair process.
Throughout the workflow Vera leverages AI to save you time and energy on manual tasks, including generating the Investigation Summary Report.
Initiate Investigation
You can initiate the investigation workflow by checking the box upon case submission or by clicking Initiate Investigation Workflow on the the case details page.
Based on the details of the case Vera may recommend initiating the workflow. If you do not wish to do so simply uncheck the box.
Once initiated, the workflow will be accessible via the Case Details page.
Permissions
- Owners, Primary Admins and Sub Admins with case access can edit the investigation.
- Viewers can view the investigation workflow but cannot edit it.
- Managers cannot view the investigation.
Step 1: Prepare
Select Investigator
- Click on ‘Select Investigator’.
- Choose the investigator who will run the investigation.
- If the investigator is the same as the assigned admin for the case, click ‘Same as assigned admin’.
- To add multiple investigators, click the + button.
- The investigator will be notified via email.
- You can add multiple investigators by clicking the + button
- The investigator will be notified via email
Investigation Plan
If your company has Vera enabled she will use the available case details to pre-populate the Investigation Plan.
Review the following fields for accuracy, or if Vera is not enabled complete manually:
- Summary of the Issue to be Investigated
- Date the Investigation Started
- Issue Raised by
- This field will be used to propagate the interview and credibility assessment. Removing the user will delete all related records.
- Claim Raised against
- This field will be used to propagate the interview and credibility assessment. Removing the user will delete all related records.
- Witnesses
- This field will be used to propagate the interview and credibility assessment. Removing the user will delete all related records.
- Evidence
- Drag and drop files to add any relevant evidence gathered for the investigation. Multiple files can be added at once.
- If Vera is enabled, this evidence will be analyzed as part of the Investigation Summary Report.
Step 2: Discovery
Interviews
- Interviews and Credibility Assessment templates will pre-populate based on the parties added in the Investigation Plan step.
- To add additional parties, go back to the Investigation Plan step.
- Once added, an interview will automatically generate.
Findings
Policy Analysis
If Vera is trained on your company’s policies she will provide a policy analysis based on the details of your investigation
Select Documentation:
Select the documentation you wish to be analyzed by Vera when generating your Investigation Summary Report
You can unselect any documentation you do not wish to include by unchecking the document
Add Factual Findings:
Enter factual findings as they pertain to the allegations addressed during the investigations. It is recommended to create a separate finding for each allegation.
Summary Report
If Vera is enabled, she will generate an Investigation Summary Report based on the information provided throughout the workflow. Carefully review Vera’s Investigation Summary Report in detail for accuracy and edit accordingly, as once published, you cannot make changes to this report.
Note: If Vera is not enabled for your organization, the report will be blank and can be completed manually.
Step 3: Resolution
Recommendations
Once the summary report is published you can add recommendations for your organization and the individuals involved
Click ‘Add Recommendation,’ select the individual, enter the recommendation and press ‘add’
- If the recommendation is not intended for a specific individual you can leave the subject blank
- If Vera is enabled for your organization, she will also auto generate recommendations based on the outcome of the investigation
- You can accept Vera’s recommendations by clicking ‘Accept’ or click the ‘x’ to dismiss Vera’s recommendation
Note: Any recommendations added on this step will automatically show up as a tasks on the final step “Take Action”
Take Action
On the final step of the Investigation workflow you can indicate which actions have been taken to resolve the investigation
- First, Select the recommended action from the dropdown menu
- Next, the recommendations provided on the previous step will auto-populate and you can indicate whether the action was taken
- Selecting ‘Yes’ will allow you to add a date and note for when the action was taken
Note: Selecting ‘No’ will remove the recommended action
Once completed press ‘Finish’ to conclude the Investigation
