Where can AI (Vera) be used in AllVoices?
Case Summary: Vera quickly summarizes new cases, helping admins and investigators easily understand the information contained in the case. The real-time summary refreshes as new details emerge, enhancing case workflow responsiveness.
Auto-Draft Messages: Integrated with our messaging tool, Vera auto-drafts messages to respond to reporters, using case details and prior messages for context. Messages always must be reviewed by admins, but Vera's thoughtful drafts give admins a starting point, saving them time on manual message composition.
Suggested Tasks: Vera intelligently recommends specific tasks based on case context, providing reasons for each suggestion to enhance decision-making. Administrators can either add these suggestions to their to-do list for direct action or choose to delete them, offering flexibility in task management.
Ability to Upload Your Handbook and Policies: Vera is adaptable to fit your organization's specific needs. While she is already trained on HR topics, you can further enhance her expertise by uploading your company policies and handbooks. This personalization allows Vera to offer advice and guidance that is uniquely tailored to your organization's requirements.
Vera Insights: Vera Insights is a data analytics tool that enhances customer dashboards with dynamic charts and personalized insights. It facilitates informed decision-making through real-time analytics.
Chat: Vera is trained on comprehensive AllVoices support documentation, enabling her to address admin inquiries proficiently. This capability ensures admins receive accurate, immediate answers to their questions, enhancing the support experience.
Investigations 2.0: Vera recommends when a case warrants an investigation based on the content of the case. Throughout the investigations workflow, Vera makes suggestions based on standard HR and Legal policies, as well as any company policies you have uploaded to your instance under Train Vera. Vera will draft an editable Investigative Summary Report based on the content and evidence within the investigation.
What customer information does Vera use?
Case Summary: Vera synthesizes summaries from the values inputted into the case form.

We have an Enterprise agreement with OpenAI to power Vera.
How is Vera trained?
Vera integrates GPT-4 and GPT-4o to offer a balance of accuracy, efficiency, and contextual awareness. The GPT-4o model enhances speed and performance, enabling quick and reliable responses to HR-related queries.
To ensure accuracy and minimize errors, we continuously test Vera using a range of prompts and conduct human-involved QA processes. Our commitment to ongoing improvement means Vera evolves alongside customer needs while maintaining strict compliance with privacy regulations.
Is our data used to train the model?
No, we opted out of allowing OpenAI to use any data for training purposes. We do not use any customer data to train or improve Vera.
Can we disable AI/Vera entirely?
We're mindful that AI might not suit every organization, so we have made it possible to disable Vera for any company.
Vera and OpenAI Data Privacy
Our Enterprise agreement with OpenAI is meticulously designed within a framework that prioritizes the utmost data privacy and security standards. We prioritize user privacy by opting out of data sharing with OpenAI for model improvement and support inquiries, ensuring users' personal and identifiable information remains protected within Vera's functionalities. Additionally, we take measures to exclude personally identifiable information (PII) from OpenAI's responses in our messaging feature, demonstrating our holistic approach to reducing privacy risks.
As an Enterprise customer of OpenAI, we have a Zero Data Retention policy. With ZDR enabled, OpenAI does not retain customer content from API interactions, ensuring that data is processed only transiently during the request. We also have a signed DPA between AllVoices and OpenAI that ensures strict data security and privacy standards.
AllVoices Data Security & Compliance
AllVoices’ data handling and processing framework is engineered to prioritize security and ensure strict compliance with leading international privacy regulations, including the General Data Protection Regulation (GDPR) and the California Consumer Privacy Act (CCPA). Our infrastructure employs advanced encryption protocols for safeguarding data both in transit and at rest, such as HTTPS domain protection and two-factor authentication, thereby effectively preventing unauthorized access.
